Requirements to Notarize

Essential preparation guidelines, acceptable identification criteria, and physical signing protocols for an accurate, compliant appointment.

Signing Guidelines

Mandatory Preparation Checklist for Every Signer

Under New York State notarial laws and executive rules, a notary public is legally forbidden from notarizing a document if core statutory criteria are missing. Reviewing these requirements before your scheduled appointment prevents delays, rescheduling, and invalidation.

Compliance First: We perform thorough verification so that your notarized document will be accepted by courts, lenders, government agencies, and corporate counterparties without dispute.

01

Physical Presence

The signer must attend the in-person appointment personally. The notary must verify identity and complete the applicable notarial act in accordance with governing requirements.

In-Person Only: For this specific service, remote/video notarization is not accepted. This restriction is distinct from any other service that may separately offer remote notarization.
02

Acceptable Identification

Bring a current, valid government-issued photo ID or passport. Identification must be unexpired, undamaged, and legible.

Unacceptable: Photocopies, digital smartphone pictures, expired cards, and university IDs cannot be accepted for this in-person process.
03

Signing Procedure

Do not sign the document in advance unless specifically instructed. The signer must sign in the notary’s physical presence when required for the requested notarial act.

Pre-signed jurats cannot be notarized; the document would need to be re-printed and signed afresh in the notary’s sight.
04

Witness Requirements

If additional witnesses are required (common for wills, medical proxies, and specific deeds), the signer must arrange them in advance unless the provider expressly confirms otherwise.

Witnesses must be disinterested parties (not named beneficiaries) and must also bring acceptable, current government photo ID. The notary does not provide witnesses.
05

Corporation or LLC Signatures

When executing documents on behalf of an entity, the document should identify the signer and their specific title or corporate authority (e.g., Managing Member, President, CEO).

The signer should bring appropriate documentation demonstrating authorization to sign for the entity, such as operating agreements or corporate resolutions, if requested.
06

Document Preparation

Review the entire document before the appointment. Ensure that all required background and factual sections are complete with no unintended blank spaces.

Leave signature lines and notarial certificate sections unsigned and blank; the notary completes these during the appointment.
